MAILING LABELS – How to create and print Mailing Labels – THE EASY WAY!
Welcome back everyone my name is Joel Field
and Today let’s discuss more with contacts specifically in regards to making labels address labels or just address
lists in general let’s do it you may have been in a position where you
wanted to print a whole bunch of mailing labels or address books envelopes a list
of all of your contacts whatever it may be maybe you’re doing holiday letters maybe you’re
doing a wedding and you want to print off all of them and not handwrite everything I’m going to
show you a really easy way that’s intertwined into your Mac into the contacts that allows
us to print off all of your mailing labels ridiculously easily let’s go ahead and open
up contacts and we’re going to continue with the Samson family so I have these five contacts
here and if I had 100 contacts and 500 contacts the choices are the same it’s no different depending
on the amount of contacts that you have so what we’re going to do is we’re going to select
For all of these contacts click on the first one hold down shift-click on the last one
and that selects everything in between or I could also go up to edit and choose to select
all and that would select all of my contacts after I do that I’m going to go to file and choose
print now even though I’m not printing them right now I can still save them as a PDF so I can do it
later in this print option across the top, we have our printer our preset copies but underneath here
we want to make sure it’s selected to contacts and then we have three choices of mailing labels
envelopes and lists let’s start with a list a list will give you a nice just list printout of
all of the information is kind of like a spreadsheet of all of your contacts you can choose the
paper size that you’re going to print to then you can choose all of these different
choices of what can show up in this list phone email if I want the address I can click that
department nickname photo birthday all of that and it will all be nice and neat into this list view
for you and I would say that it does grow pretty quickly with the number of things that you put in there
but needless to say, you have the option to create a list the next option I would look at is mailing
labels so under mailing labels we have two choices layout and label first we have to figure out
what labels we’re buying the most common ones are Avery you have lots and lots of model numbers
here I will say the most common ones are 8160s there are 30 on a page and then also 5160s 5160
those are also 30 on a page those are the two most common if you don’t know though you have
all of the model numbers are here for reference and you can go ahead and print them now i only have
five here and I want to fill up the sheets so that you can see what it looks like so here’s what
we’re going to do we’re just going to select all of the contacts here we’re going to copy and paste
so that there are 30 that we can see on a page that’s okay if they’re all duplicates let’s go
file print okay so now we can see a much better uh guide of what it looks like because as I
go through these you know 51.65 that’s not doing it 5262 looks like it’s seven rows
with two columns so again 8160s and 5160s are primarily the most common for you let’s go back
to ad-160s there’s a little zoom slider that I can use over here on the left-hand side and I can zoom
in to see the address of where everything is and I can zoom in a little bit closer and then
that’s pretty much it for the layout you’re you’re defining what the layout is for these
labels the next option next to it is a label and this gives you the option to choose all the right
addresses what are we doing a home address a work address we don’t want to do all addresses because
otherwise, if they have a work address in there a home address a cabinet address a vacation address
it’s going to do all of them so I would define what address you’re printing for each
person and then you can say print in alphabetical order or by postal code do you want to print the
the company on there the country the region all of that you can choose the color of
the font so if I didn’t want black I could pull up the color picker and we could do you know red
for example, there is a weird little bug that I found in Big Sur whereas I make changes here
inside it doesn’t automatically reflect in the viewer here until I zoom in and zoom
out it’s really weird and it’s very annoying but it works the other last two options I have
an option to set an image and a font so let’s go back to black here just because we don’t need
crazy colors uh an image is kind of nice maybe they’re for holiday cards let’s do uh holiday
let’s do holiday bells why not we’ll do a little image here i like this one here we’ll just drag
that to the desktop we’re going to minimize this we’re going to set the image we’ll navigate to
the desktop and we’ll select that image click ok and now I have this little tiny picture next to
the name so how cool is that maybe it’s a wedding maybe these are wedding announcements so let’s
do wedding couple couple silhouettes here we go and we wanted images let’s just say this
one so we can drag this to our desktop we’ll minimize this we’ll set the image
go to our desktop and we’ll choose that choose okay we’ll do the little slider and there
we go it’s refreshed now here’s a little quick tip notice how it’s got the little square there
because we pulled this image off the internet if we open this up inside of the preview we can
turn this into what’s called a PNG file so I can go to markup we can go to the instant
Alpha tool and I can select here press delete and it’s going to convert this image and now
if I go back and save this file save will quit here if we go back and reset it because
notice notice the little box here if we set this go back to the desktop and choose that file one
last time refresh this voila just like that we’ve gotten rid of that big square there because
we took it out we made it transparent so side tip there I like it so cool you can add an image if
If you don’t want an image then don’t put one there that’s cool too and then also you have the
option to do a font and this is where you can go through your font selections again
scroll in and it’s an annoying bug that you have to keep on changing the uh the zoom
here for those changes to take effect uh which did not happen with my previous operating
systems but as we go through here we can choose this and there we go I like
the uh let’s go back to this one here and it looks very wedding-ish and there we go so
now I have my labels I have my labels created if I don’t have a printer right now I do have this
option down here for pdf and say save as pdf that way I can create all of this so we’ll do
a wedding label we’ll save it to the desktop and so now I have this PDF that has
all my wedding labels and all I have to do is buy the labels and print them so really really
helpful saves you a lot of time it does give you a lot of options to customize and it
saves the work now you may be asking what if you don’t have a full sheet of labels for
I’ll usually just print off and fill a bunch in there or you can always go out to Avery’s
website or do a Google search for let’s say 8160 templates and you can go out to
avery’s website and get these templates for you and then we can choose okay what kind of file do
you want do you want a Microsoft Word Photoshop Illustrator I’m going to do pages because that’s
I like pages a lot and we’re just gonna continue as guests um something at something.com
no, I don’t want to receive anything we’ll download yes we want to download so now it automatically
downloaded that template for me we’ll continue and here is that same template where I
do have a lot more control and if I only have a handful of labels I can manually enter
they here match it up where those labels are on the sheet and then print it so lots of
options but for the majority of all of your labels doing it directly out of contacts
huge time saver and it’s it’s pretty easy also so thank you so much for watching i hope
